Our client who handles care plan systems and solutions for Chiropractors was overwhelmed by managing the billing process using Microsoft Excel and turned to technology for a more sophisticated, easy-to-use, and hassle-free bill management system in Fortis Solution Customization. We at Custom Software Lab designed and developed a care plan calculator as an addon within Fortis payment system for bill management.
The care plan module has the following features;
Fee Schedule
The Fee Schedule is the record of the consultation fee charged for each visit by the health care facility. The details are recorded as Code, Code Description, and Fee. For instance, Code 99243 and Code Description is Consultation and the Fee is $75. The health care staff can add all the health care services provided by the facility and the fee charged for each service. Exceptions are put in place so the health care staff can know if services are dependent on each other and make the bill accordingly. For instance medical service Code 99212 Code Description UHC RE2 must be performed on the same day as Code 98940/1/2. The exceptions are displayed as messages, so when the front office staff is billing for Code 99212, an exception message “Modifier when performed with 98940/1/2 on the same day” so the staff will know that the patient has availed medical service Code 98940/1/2 and add the fee to the bill. This helps the front office staff to pay the bill without any errors.
HIPAA Compliant
The benchmark for protecting sensitive patient data is set by the Health Insurance Portability and Accountability Act (HIPAA). To achieve HIPAA Compliance, organizations that deal with protected health information (PHI) must put in place and adhere to physical, network, and process security measures. We ensured that the system is HIPAA complaint to safeguard people’s privacy when it comes to their health information while enabling healthcare organizations to use modern technology to enhance the effectiveness and quality of patient care.
Care Plan
People visit dentists and chiropractors to avail several health care services, different patients have different needs so to deal with patient health care without any hassle a module called Care Plan was implemented. The care plan is enabled for all patients registered in Fortis and listed under Contacts. There are three care types
- Supportive/Wellness Care
- Ancillary
- Add Family Member
Any or all the care types can be added for a patient where the fees and discount rates can also be fed and the total amount incurred for a particular patient can be managed without any hassle.
Payment
Most people who seek dental and chiropractic services are not one-time visitors. Patient healthcare plans can be for a longer duration and payments are spread over the duration of their treatment, handling such a billing process can be overwhelming for the front office staff. To make the bill management hassle-free, Custom Software Lab implemented a payment module with payment types One Type and Recurring. For recurring payment type information such as Process every “This number of” days, weeks, or months. Payment Start Date and Number of Installments are recorded to manage bill payments for patients in the longer treatment plans. A patient can choose different payment plans for different services with a certain number of installments and relevant discount rates as offered by the health care service provider.
Care Plan Calculator
The care plan calculator will provide information regarding the patient’s care plan and their relevant payment options. The summary provides the details of the health care services availed by the patients. A detailed description of the care plan with the code and code description of the services provided by the health care provider to the patient is listed. Details about the payment plans decided by the patients are also displayed in the care plan calculator. The print option is available so the care plan calculator can be printed out for the patient’s signature and manual record management purposes.
